What Are AI Agents? A Plain-English Guide, With Examples South African Businesses Use

What are AI agents? Software that plans and acts toward a goal using your business tools. Types, real examples, builders and costs for SA businesses.

AI agents are software systems that take a goal, plan the steps, and use tools such as your CRM, calendar, inbox or WhatsApp line to complete the task with limited human supervision. IBM puts it in one line: an AI agent is a system that "autonomously performs tasks by designing workflows with available tools."

That makes an agent different from the AI most people have used so far. A chat assistant writes an answer and waits for you. An agent does the work: it looks up the customer, replies, books the slot and updates the record. For an owner or operations lead in South Africa, the useful question is not "what is an agent" but "which of my team's repetitive tasks could one take over safely".

In short

  • An AI agent is a language model connected to tools and instructions, running in a loop until a task is done.
  • Agents act. They update records, send messages and book appointments, where chatbots and assistants mostly answer.
  • Classic AI theory lists five types of intelligent agents, from simple rule-followers to agents that learn.
  • Businesses use agents for lead response, customer service, meeting preparation, claims intake and back-office matching.
  • You can build one with a no-code builder, code it with a developer kit, or have an agency build it. Start with one narrow job.

How do AI agents work?

OpenAI's practical guide to building agents describes three core parts:

  1. Model. The language model that reasons and makes decisions.
  2. Tools. Functions or connections the agent can use. Some read information, such as a CRM record or a PDF. Others take action, such as sending an email, updating a record or handing a ticket to a person.
  3. Instructions. Written rules and guardrails that define how the agent behaves.

OpenAI's guide defines agents simply: "Agents are systems that independently accomplish tasks on your behalf." Anthropic's Agent SDK documentation describes an agent as an application that completes a task by planning its own steps and calling tools. Both describe the same loop: understand the goal, gather context, act, check the result, and repeat until finished. If the agent fails or hits a limit, it should stop and hand control back to a person.

IBM adds a fourth ingredient that matters in practice: memory. Agents store results and feedback so they can adapt to preferences and avoid repeating mistakes.

What are AI intelligent agents? The five classic types

"Intelligent agents" is the older, academic name for the same idea. Stuart Russell and Peter Norvig's textbook Artificial Intelligence: A Modern Approach gives the topic a full chapter, titled Intelligent Agents. IBM's overview lists five types, from simplest to most advanced. The business examples in this table are illustrative.

TypeHow it decidesBusiness example
Simple reflexFixed if-then rules, no memoryAn after-hours auto-reply on WhatsApp
Model-based reflexRules plus an internal picture of what is happeningA stock alert that tracks levels across the day
Goal-basedPlans a sequence of actions to reach a goalAn agent that qualifies a lead and books a viewing
Utility-basedWeighs several paths and picks the best by a score such as cost or timeChoosing which delivery slot to offer based on route and driver load
LearningImproves from feedback and experienceA support agent that gets better as staff correct its answers

Most of today's business agents built on language models are goal-based, with some learning through feedback and memory. The WhatsApp Business app's automated greeting and away messages, which Meta lists on its Business app page, are a good example of a simple reflex agent: useful, but they cannot answer a real question.

AI agents vs chatbots vs automations

What it doesExample
Rules-based automationRuns the same fixed steps every time a trigger fires"When a form is submitted, add a row to a spreadsheet"
ChatbotAnswers questions in a conversation, often from a scriptA website FAQ bot
AI assistantGenerates content when a person asksDrafting a proposal
AI agentDecides steps and uses tools to complete a taskReplying to a lead, qualifying them and booking a call

OpenAI's guide is clear that simple chatbots, single-turn LLMs and sentiment classifiers are not agents, because the model does not control the workflow. IBM makes a similar split between non-agentic chatbots, which cannot plan or use tools, and agentic ones, which can. If a product cannot take an action in another system, it is not an agent, whatever the label says. For the difference between agents and the content-generating tools most teams already use, see agentic AI vs generative AI.

AI agents examples businesses use

Vendor examples below come from the vendors' own pages. Fictional businesses are labelled.

  1. Lead response and qualification. For example, a Centurion estate agency's agent replies to a property enquiry within minutes, asks about budget, area and bond pre-approval, and books a viewing. AmbitX's Conversio does this on WhatsApp, and Conversio's WhatsApp agent playbook for estate agencies walks through the flow. Our guide to AI lead qualification covers the method.
  2. Customer service. HubSpot describes its Customer agent as resolving common questions around the clock, grounded in contact history.
  3. Meeting preparation. Zapier lists a Meeting Prep Agent that builds a briefing on attendees before each meeting.
  4. Sales prospecting. HubSpot's Prospecting agent monitors accounts for buying signals and reaches out.
  5. Support email drafting. Zapier lists an agent that drafts customer replies from your knowledge base, for a person to approve.
  6. Phone calls. For example, an AI voice agent can answer a Durban medical practice's after-hours calls and take booking requests.
  7. Claims and document intake. OpenAI's guide names home insurance claim processing as a strong use case, because it depends on reading unstructured documents.

How to create an AI agent

The steps are the same whether you build it yourself or hire someone.

  1. Pick one job. Choose a repetitive, multi-step task with a measurable outcome, such as "every enquiry gets a reply and a booking offer within five minutes".
  2. Write the instructions from what you already have. OpenAI recommends turning existing procedures, support scripts and policy documents into the agent's instructions.
  3. Connect only the tools it needs. A booking agent needs the calendar and the CRM, not your accounting system.
  4. Set handover rules. OpenAI suggests human approval for sensitive or irreversible actions, such as cancelling orders, large refunds or payments, and escalation when the agent fails repeatedly.
  5. Test before going live. Anthropic recommends extensive testing in sandboxed environments with guardrails, because errors can compound.
  6. Measure and expand slowly. Compare results with the old process, then add tools or tasks one at a time.

Anthropic's advice in Building effective agents is worth repeating: find the simplest solution that works. Sometimes that is a single well-prompted model call, not an agent.

Which AI agent builder should you use?

Prices below are as published on each vendor's site on 11 October 2026. Rand figures use the Xe mid-market rates that day: US$1 = R16.53 and €1 = R18.53.

The no-code builders suit internal tasks. Customer-facing agents that speak for your brand on WhatsApp or the phone usually need more work on tone, handover and compliance. That is where a specialist helps; our guide on how to choose an AI agency in South Africa covers what to ask.

What should South African businesses check before deploying an agent?

  • POPIA. An agent that handles customer details processes personal information, so the Protection of Personal Information Act applies. Agents that make decisions about people, such as screening applicants, need extra care. Get legal advice for your specific case, and see our POPIA checklist for businesses using AI.
  • The channel. If your customers message you on WhatsApp, an agent there runs on the WhatsApp Business Platform, where Meta charges per delivered message. Since 1 October 2026 that includes replies inside a customer's 24-hour service window, after 1,000 free service messages per business number each month.
  • The handover. Decide who gets the conversation when the agent stops, and how fast they respond.
  • The measure. Agree one number before launch, such as response time or bookings per hundred enquiries, so you know whether it works.

Frequently asked questions

What is an AI agent in simple terms?
An AI agent is software that takes a goal, works out the steps, and uses tools such as a CRM, calendar, inbox or WhatsApp line to complete the task with limited human supervision. It runs on a language model for reasoning, and it hands back to a person when it finishes or gets stuck.
What are the five types of intelligent agents in AI?
The classic types are simple reflex agents, which follow fixed if-then rules; model-based reflex agents, which keep an internal picture of their environment; goal-based agents, which plan actions to reach a goal; utility-based agents, which choose the best of several paths; and learning agents, which improve from experience and feedback.
What is the difference between an AI agent and a chatbot?
A chatbot answers questions in a conversation. An AI agent completes tasks: it can look up records, update systems, send messages and book appointments. OpenAI's guide to building agents says simple chatbots are not agents because the language model does not control the workflow.
How do I create an AI agent for my business?
Pick one repetitive job with a clear outcome, write the instructions from your existing procedures, connect only the tools the agent needs, set rules for when it must hand over to a person, test it on real but low-risk cases, and measure it against how the work was done before.
What is an AI agent builder?
An AI agent builder is a platform for creating agents without writing much code. Examples include Zapier Agents, Microsoft Copilot Studio, n8n and HubSpot's Agent Builder. Developers can also use code libraries such as the OpenAI Agents SDK or the Claude Agent SDK.
How much does it cost to run an AI agent?
It depends on the builder and the volume of work. On 11 October 2026, Zapier's free plan included 400 agent activities a month, Microsoft Copilot Studio sold 25,000 credits for US$200 a month, and n8n's cloud Starter plan was 20 euros a month billed annually. Model usage and setup time add to that.
